Job Description

Reporting to the Manager, Research Ethics Office, the Ethical Oversight Assistant is an integral team member who supports the efficient operations of the Assessment Process for Quality Improvement Projects (APQIP) initiative and Research Ethics Board (REB). This role works closely with the APQIP Lead and the Director, Quality, Safety & Patient Experience to ensure the review and oversight of quality improvement projects at WCH. This role also supports the Research Ethics Office (REO) and acts as an important operational and communications link between the two complimentary review processes. The incumbent must be willing to work collaboratively and cooperatively in a challenging and dynamic environment.

Summary of Duties, but not limited to:

• Triages incoming submissions into the APQIP Office and REO and follows up with the submitter in the event any documents or information are missing
• Manages the APQIP and REB general inboxes and communications
• Issues letters after they have been approved by the APQIP Lead (initial approvals, amendments, annual renewals, etc), REB chair (initial approvals, amendments, annual renewals, terminations, etc), or by the Research Ethics Office Manager
• Maintains electronic records including databases, lists, and other mechanisms that allow for distribution of tasks, timely reporting, and interface with the research module in EPIC
• Supports all aspects of meetings, including calendar invitations, developing agendas, preparation of materials, and associated communications
• Supports integration between the APQIP office and the REO, to ensure consistency in processes, communications, and materials
• With input and direction from the team, drafts and updates Standard Operating Procedures, Policies, and guidance documents and develops new forms
• Actively identifies opportunities for process efficiencies and takes the steps to put these into action, with input from the team
• Supports annual reporting including tracking metrics and drafting materials, as needed
• Supports team initiatives, events, and activities as required

Qualifications

• An undergraduate degree in Health Sciences, Ethics, or a related field
• One year of progressively responsible and related experience
• Knowledge of quality principles and/or research ethics guidelines preferred
• Experience in an academic or healthcare environment highly preferable
• Excellent written, verbal, and interpersonal skills are essential
• Ability to work with different people of diverse backgrounds
• Excellent organizational skills with attention to detail
• Experience working with Microsoft office (word, excel, access)
• Experience in a dynamic environment, with competing priorities and accountabilities
• Good work and attendance record required
